1.4. By entering into a WorkLogx contract, the customer confirms that it uses WorkLogx in the course of its business or professional activity.
1.5. Deviating terms of the customer apply only if Monadion has expressly agreed to them in text form.
2. Subject matter
2.1. WorkLogx is a cloud-based B2B software solution for digitally supporting operational processes.
Depending on the subscribed plan and enabled features, WorkLogx may in particular provide functions for:
- digital forms,
- mobile data capture,
- work and performance documentation,
- file and document management,
- customer and project management,
- employee management,
- absences,
- assignment and task planning,
- review and release of submissions,
- reporting,
- integrations,
- document generation,
- AI-assisted features, and
- further operational functions.
2.2. The concrete scope of features depends on:
- the subscribed office plan,
- additionally purchased products or add-ons,
- the number and type of employee licences,
- purchased storage expansions,
- features enabled for the customer, and
- the respective user permissions.
2.3. The service description, plan overview and price overview shown at contract conclusion form part of the contract.
2.4. Monadion may further develop WorkLogx technically, provided that the essential agreed use of the subscribed plan is not unreasonably impaired.
3. Registration and contract formation
3.1. A WorkLogx contract may in particular be concluded via the WorkLogx web application or an individually agreed ordering process.
3.2. The customer must provide complete and accurate information during registration and contract conclusion.
3.3. Before registration is completed, the customer is provided with the then-current Terms and Privacy Policy.
3.4. The contract is formed once the registration or order for WorkLogx has been accepted and the customer account or organisation has been activated.
3.5. The WorkLogx mobile application is primarily intended for use by employees and other authorised users of an existing WorkLogx company account. Administration of the company account generally takes place via the web application.
4. Free trial
4.1. Where offered, new customers may trial WorkLogx free of charge for 7 days.
4.2. During the trial, the feature scope of the Office Platinum plan is generally provided, to the extent individual features are technically available and enabled.
4.3. The trial is solely for evaluating WorkLogx.
4.4. A trial does not create any entitlement to permanent free use.
4.5. A paid continuation occurs only according to the model agreed in the order or payment process.
5. Plans and add-on products
5.1. WorkLogx is in particular offered in the following office plans:
- Office Light,
- Office Premium,
- Office Platinum.
5.2. In addition, the following products or add-on services may in particular be offered:
- employee licences,
- employee AI,
- storage expansions,
- further optional features or add-ons.
5.3. The features and usage limits included are set out in the service description current at the time of order.
5.4. An employee AI add-on generally requires a corresponding employee entitlement or employee licence.
5.5. The customer may assign user roles and permissions within its company account. A user permission does not expand the commercially subscribed feature scope.
6. Prices and VAT
6.1. The prices shown at the time the order is placed or in the respective offer apply.
6.2. Unless expressly stated otherwise, all prices in B2B transactions are net plus applicable statutory VAT.

7. Employee licences and quantities

7.2. Where WorkLogx uses actually active employees or enabled employee AI entitlements for billing, the billable quantity is adjusted according to actual use.
7.3. Deactivating an employee does not automatically end statutory or operational retention duties regarding work or business documentation already created.
8. Storage and storage expansions
8.1. Each office plan may include a defined storage allowance.
8.2. The customer may purchase additional storage packs where offered.
8.3. The effective storage limit results from:
- the storage included in the subscribed office plan, and
- additionally purchased storage expansions.
8.4. If the customer reaches its storage limit, WorkLogx may reject further file uploads, exports or other storage-intensive operations until:
- storage is freed up,
- additional storage is purchased, or
- the plan is changed accordingly.
8.5. Data already stored are not automatically deleted merely because a plan change or reduction of purchased storage causes the current data volume to exceed the new limit. Further uploads may nevertheless be restricted.
9. Billing and payment processing
9.1. Paid WorkLogx services are generally billed on a recurring basis.
9.2. Payment processing may take place via Stripe.
9.3. The customer must provide valid and complete billing and payment information.

9.5. In the event of payment default or failed payment, Monadion may, after appropriate notice and taking the circumstances into account:
- restrict paid features,
- place the account in a restricted or read-only state, or
- temporarily suspend access.
9.6. Statutory claims arising from payment default remain unaffected.
10. Upgrade and downgrade
10.1. An upgrade to a higher plan may generally take effect immediately.
10.2. The financial treatment of an upgrade follows the billing shown at the time of the upgrade.
10.3. A downgrade to a lower plan generally takes effect at the start of the next billing period.
10.4. The customer is responsible for checking before a downgrade whether:
- features in use,
- stored data,
- employee licences, or
- storage in use
exceed the limits of the new plan.
10.5. After a downgrade takes effect, WorkLogx may restrict features that are not included in the new plan.
11. Term and termination
11.1. Unless otherwise agreed, a paid WorkLogx contract is concluded for an indefinite term with monthly billing periods.
11.2. The customer may terminate the contract at the end of the then-current monthly billing period.
11.3. Termination may be effected via the account administration or the payment/customer area provided for that purpose.
11.4. Termination ends paid use upon expiry of the billing period already paid for.
11.5. No pro-rata refund of amounts already paid is made, unless mandatory law or an express individual agreement provides otherwise.
11.6. The right to extraordinary termination for good cause remains unaffected.
12. End of contract and data export
12.1. After the contract ends, Monadion generally provides the customer with a transitional period of 30 days during which available customer data may still be exported.

17.4. Monadion does not warrant that AI-generated content is always error-free, complete or suitable for a particular professional or legal purpose.
